🛥️How to Set Up Boats, Houses, or Cars as Equipment in Cowlendar

Cowlendar’s Equipment-based availability is perfect for managing the rental of boats, houses, or cars. Whether you offer luxury villas, compact cars, or jet skis, this feature helps you control availability, manage inventory, and streamline your booking operations with ease.


🎯 Why Use Equipment-Based Availability for Boats, Houses, or Cars?

If your business rents individual, physical units for a specific period of time — such as daily, weekly, or multi-day rentals — this feature is made for you.

Here’s how it helps:

  • Accurately control how many units of a boat, car, or house are available.

  • Decide whether you want to track each item individually (e.g., "Villa Sunset") or collectively (e.g., 5 identical cars).

  • Block out dates for maintenance or cleaning.

  • Enhance customer trust with clear labels and descriptions.


⚙️ How to Add Boats, Houses, or Cars as Equipment

You can add this type of equipment from two places in Cowlendar:

🔁 Option A: Add Equipment While Editing a Service

  1. Go to Shopify > Apps > Cowlendar.

  2. Click My Services.

  3. Click Edit on the rental service (e.g., "Car Rental - 3 Days").

  4. Navigate to the Availability tab.

  5. Under Availability Mode, select Availability per Equipment.

  6. Click Add Equipment.

You must set the service to Availability per Equipment to enable equipment linking.


📂 Option B: Add Equipment from the Main Menu

  1. From your Cowlendar dashboard, click on Equipment in the left-hand menu.

  2. Click + Add Equipment.

  3. Choose Boat / House / Car Rental as the type.

This opens the full equipment configuration view.


🛠️ Configuring Your Equipment

When selecting the Boat / House / Car Rental type, you’ll be guided through these sections:

1. 🖼️ Icon & General Information

  • Choose an icon from our built-in library or upload a custom image (max 50 KB).

  • Enter an Internal Name (for internal use only).

  • Set the Customer Label, which is shown to clients during booking.

  • Optionally, write a description to include specific details (e.g., model, amenities, or rental terms).

Be specific with your labels — e.g., “Toyota Corolla - Blue” or “Beach House #2 - Ocean View”.


2. 📦 Quantity and Capacity

Define how many units of this equipment you offer.

Examples:

  • 3 identical jet skis

  • 5 compact rental cars

  • 2 luxury villas

If you add more than one unit, you’ll see two tracking options:

a) Track Quantities

Use this if your items are identical and interchangeable.

Example: You have 5 identical sedans, and you don’t need to know which one gets booked — just how many are still available.

b) Track Individually

Use this if each unit is unique or you need to monitor them separately.

Example: You rent out a House with pool and a House with garden, or you want to track license plates or registration numbers for cars or boats.

Choose the setup that best matches your inventory and operational needs.


3. 💾 Save the Equipment

Once your setup is complete, click Save.

Your boat, house, or car is now available to be linked to any service using Availability per Equipment.

Once the equipment is saved:

  • Edit the desired service and link your equipment from the Availability tab.

  • Cowlendar will manage availability in real time based on quantity and usage.

  • You’ll avoid double-bookings and maintain full control over your rental assets.
